Getting started

Is LedgerMate really free?

Yes, LedgerMate is free today, with no card needed. We may introduce fees in future. If we do, we will tell you before any fee applies, and you will never be charged unless you agree.

How do I sign up?

Choose Sign up free, then continue with Google or enter your name, email and a password. Your workspace is ready immediately.

I forgot my password. What now?

On the sign-in page choose “Forgot your password?” and enter your email. We will send a link to choose a new one.

How long does it take to get set up?

About five minutes. Create your free account, add your business name, and upload your last bank statement. LedgerMate sorts it for you straight away.

Bank statements

Which banks are supported?

FNB, Capitec, Standard Bank, Absa, Nedbank, Discovery Bank, GoTyme Bank (formerly TymeBank), Investec, African Bank and others. PDF, CSV and OFX files all work.

My PDF statement has a password.

Choose the file as normal and LedgerMate will ask for the password. Banks often use your ID number. The password is only used on your device and is never stored.

Will uploading the same month twice double my numbers?

No. LedgerMate recognises transactions it has already saved and skips them.

It says it could not read my file.

Try the CSV download from online banking instead of a PDF. Scanned or photographed statements cannot be read. If a CSV still fails, LedgerMate lets you match the columns yourself.

Invoices and tax

Should I charge VAT?

Only if SARS has registered your business for VAT and given you a VAT number. If you are not sure, you are probably not registered. See our VAT guide.

Is my bank statement enough for my taxes?

For most small businesses it covers the main things: money from customers, business costs, VAT on both, wages and PAYE paid to SARS, loans and refunds, and money you took out for yourself. It does not work out PAYE for each employee (use payroll software or your accountant), or cover large equipment that must be written off over several years, stock at year end, or cash that never went into the bank. The Tax page lists these so nothing is missed.

Does LedgerMate submit my VAT201, EMP201 or tax return?

No. LedgerMate gives you estimates and organised records. You submit and pay on SARS eFiling, or ask a registered tax practitioner.

How long must I keep my records?

SARS generally requires records to be kept for five years from the date you submitted the related return. LedgerMate keeps your saved records while your account is open.

Your data and privacy

Do you sell my data?

We never sell your personal information. Only if you switch on “Anonymised insights” in Settings, your records are de-identified and combined with those of many other businesses into statistics we may share or sell, so no business or person can be identified. It is off unless you switch it on, and you can switch it off at any time to stop future use. Partner offers are also off unless you switch them on.

I sorted something wrongly. Can I fix it?

Yes. On Bank statements, change the category of any saved transaction or remove it. On Spending you can remove costs you added by hand, and on an invoice you can undo a payment or cancel it with a credit note. LedgerMate adds a correcting entry, so your records stay complete.

Can I download my data?

Yes. In Settings, choose “Download my data” to get a copy of everything stored in your workspace.

How do I delete my account?

Go to Settings and scroll to Delete your account. Download your data first: deletion is permanent, and SARS generally expects you to keep business records for five years.

Your books, sorted from day one.
